Exhibit Visibility

The Nursing Organizations Alliance meeting offers exhibitors as much exposure as possible which is why we schedule the breakfasts, breaks and opening reception in the exhibit hall. We recognize the value exhibitors add to the meeting and will do all in our power to increase exposure opportunities. Exhibitors are also invited to send two people to each social event.

Exhibit Assignment

Booths are selected on a first-come, first-served basis, with the hall opening to the previous year's exhibitors in advance of the public. Organizations whose full payments are received first will be placed first. Exhibit management reserves the right to change booth assignments at any time necessary. The exhibitor will be informed of any such change immediately.

Exhibit Hall Hours

You asked and we listened! New for 2020, the Fall Summit agenda will have one longer, dedicated time on Friday for attendees to visit the exhibit hall, in place of the several short breaks throughout the day. Based on exhibitor feedback, this will allow for longer, and more quality conversations and interactions with attendees.

Installation of Exhibits

Thursday, November 19th
2:00 p.m. - 4:30 p.m.

The exposition is scheduled to open at 5:30 p.m. on Thursday. We ask that your booth area be fully set by 4:30 p.m. on Thursday so that the exhibit area can be cleaned prior to the opening. It is the responsibility of exhibitors to have their exhibits in place before the opening of the exposition.

Children under the age of 18 are NOT allowed in the exhibit hall during set-up and tear-down.

Dismantling of Exhibits

Saturday, November 21st
9:15 a.m. - 2:00 p.m.

All exhibits must be dismantled and removed no earlier than 9:15 a.m. and prior to 2:00 p.m., Saturday, November 21st . No packing of equipment, literature, etc. or dismantling of exhibits will be permitted until the official closing time. Exhibitors shall care for and keep in good order all space occupied by them. Special cleaning and dusting of booth, display, equipment and material will be the exhibitor's responsibility and shall be performed at the exhibitor's expense. Please contact exhibit management to arrange for this service.

Each person working in or visiting the exhibits will be required to register and wear an identification badge at all times. An exhibitor will be permitted to register two members of his/her firm on a complimentary basis for each single booth space reserved. Exhibitors must pre-register using the online form. No more than two people from each exhibit booth will be permitted in the hall and to attend each social event.

Cancellation & COVID-19 Statement

Worry Free Booth Reservation & Sponsorships

At this time, the NOA Fall Summit, November 19-21, 2020, is proceeding as planned in Des Moines, Iowa.

What exactly does "proceeding as planned" mean for you as an exhibitor or sponsor?

  1. We encourage you to reserve a booth for the conference as you normally would. If you need to cancel, you may do so before Friday, October 9, 2020 to receive a full refund.
  2. Please move forward with selecting your sponsorships as usual. If the in-person event is cancelled, the sponsorship will be rolled forward to the 2021 in-person event.
  3. We recommend that you make hotel reservations as you normally would. The Des Moines Marriott Downtown allows for cancellations up to 48 hours out with no penalty.
  4. We recommend that you wait to book flights until closer to the event to avoid potential cancellation charges. 

We will proceed with planning as scheduled until the early Fall time frame, when we anticipate having better clarity around our ability to hold an in-person event. Please trust that NOA’s top priority is the health, safety and well-being of our members, exhibitors, sponsors, and everyone involved with the conference. We will continue to monitor the situation, provide regular updates, and post the most up to date information on NOA’s website.

Photo/Video Release

By attending the Nursing Organizations Alliance Fall Summit, you understand and accept that photographs or videos taken of you may be used by the Nursing Organizations Alliance and/or Catch Des Moines for promotional and/or educational purposes.

Standard Booth Equipment

One exhibit booth will be a standard 8x10, consisting of a draped back wall 8’ high and side dividers 3' high. The rental price of each booth includes one 6x30 draped table, two chairs, an identification sign and one wastebasket. The floor of the exhibit hall is carpeted; however, you may order carpet in a color to complement your display. Carpet and other items not included in the booth price can be ordered from the conference decorator, Event Decorators of Iowa, using the Exhibitor Services Kit.

The height of each exhibit may not exceed 8' unless written permission is obtained and your exhibit may not exceed the depth of your booth. Exhibits must not obstruct the light, view, or space of other exhibiting companies or aisle-ways. 

After the exposition, it is the responsibility of each exhibiting company to return its space to the condition in which it was assumed. Any damage to that space will be the responsibility of the exhibitor. It must be restored to its original condition at the exhibitor's expense.


The exhibiting company, its agents and representatives agree that The Nursing Organizations Alliance and the Des Moines Marriott Downtown, and any of their officers, staff members, agents or employees, are not responsible for and are released from all liability as to any injury, loss or damage that may occur to the exhibitor, the exhibitor's agents, directors, officers or employees, or to any other persons or to the exhibitor's property prior to, during or after the holding of the conference.

Exhibitor Service Kit

If you have signed up as an exhibitor, a link to the Exhibitor Service Kit will be sent to you by the conference decorator, Event Decorators of Iowa


The Nursing Organizations Alliance, the Des Moines Marriott Downtown and the conference decorator do not maintain insurance covering the exhibitor's property. It is the sole responsibility of the exhibitors to obtain the appropriate amount of insurance to cover their property, agents or employees from theft, damage by fire, accident, or other cause. Exhibitors are responsible for their own property. Certificates of insurance must be furnished to exhibit management if so requested.

Fire, Electrical & Safety Regulations

The exhibitor assumes full responsibility for complying with city and hotel regulations concerning fire, safety and health. All materials, including table drapes, back wall materials, textile or paper displays and any other decorations or items in the exhibitor's booth must be nonflammable and are subject to inspection by the Fire Marshal.


The exhibit hall will be locked when the hall is not open. Exhibitors are encouraged not to leave booths unattended during exhibit hours. Exhibitors are cautioned that small portable articles of value and personal items should be properly secured or removed for safekeeping after exposition hours. The Nursing Organizations Alliance will not guarantee exhibitors against, nor shall it be responsible for, loss of any kind.

Contract Application

Exhibit management reserves the right to reject any application for exhibit space or restrict any exhibit considered inappropriate and not in keeping with the character of the exposition. This restriction includes articles, conduct, printed matter or anything objectionable to the exhibits as a whole. As a policy, the Nursing Organizations Alliance does not allow Association Management Companies to exhibit at the Fall Summit. Statements made in booth display or literature for distribution is subject to evaluation for accuracy. Exhibit management shall prohibit the use of amplifying equipment or music if it is considered to be objectionable. Exhibit management will require modification of the appearance or dress of persons or mannequins used in connection with displays or demonstrations, if considered inappropriate. All demonstrations must be confined to the limits of the exhibit booth.

Use of Association Logo

Use of the Association logos in any form is forbidden. Reference to The Nursing Organizations Alliance in any form of advertisement must be approved in advance by The Nursing Organizations Alliance staff.

Cancellation or Postponement of Exposition

In the event of fire, strikes, riots, civil commotion, acts of God, war, terrorism or other unavoidable circumstances rendering it impossible or impractical for any reason for The Nursing Organizations Alliance to perform such contract, the Association's performance under such contract shall be excused. In such events, all deposits and payments made by the exhibitor for exhibit space shall be returned to the exhibitor minus any expenses incurred by the Association on behalf of the exhibitor.

Cooperation of Exhibitors

The foregoing regulations with reference to exhibits have been formulated in the best interests of the exhibitor and cooperation is therefore requested. These regulations are a part of the agreement between the exhibitor and exhibit management. Any matters not specifically covered in this prospectus and contract are subject to decision by exhibit management. Exhibit management reserves the right to make such changes, amendments and additions to these rules as it considers advisable for the proper conduct of the exhibit, with the provision that all exhibitors will be advised of any such changes.
